This document consists of two parts: Part A governs the processing of your personal data in connection with registration, participation and the scholarship programme; Part B contains the Scholarship Rules of the OLAMI scholarship programme. A separate [Website Privacy Policy] applies to visits to www.or-zarua.at.
Part A — Privacy Policy
A.1 Controller

A.2 What data we process

Identification and contact data: first name, surname, date of birth (to verify the programme age requirement of 14–32 years), sex/gender (for the organisation of study formats), phone number, messenger/social-media contact.

Academic and professional background: university or educational institution, field of study or occupation; your plans regarding your stay in Vienna (for programme planning).

Financial data: bank account number (IBAN) — collected only after a scholarship has been approved and used solely for payout.

Special categories of personal data (Art. 9 GDPR): information about your religious background and spiritual matters, verification of Jewish status according to Halacha, requests for confidential conversations with a spiritual mentor (Rabbi).

Attendance and participation data: records of attendance and participation in study sessions, to the extent required to calculate scholarship entitlements under Part B.

Visual materials: photographs and video recordings at our events — only with your separate, explicit consent.

Data processed under Art. 9(2)(d) GDPR is not disclosed outside the association without your consent.
A.4 Explicit consent for special categories of data
Information about your religious status and Halachic verification constitutes special categories of personal data (Art. 9 GDPR). You give your explicit consent by ticking the dedicated, un-preticked box in the form. Consent is voluntary and can be withdrawn at any time with effect for the future (Section A.9).
A.5 Is providing data mandatory?
The fields marked as required are necessary for registration and participant administration; without them we cannot process your registration. Halacha-related information is required solely for the scholarship assessment: without it, scholarship eligibility cannot be established, but participation in our study programmes without a scholarship remains possible. Optional information (e.g. media consent) has no effect on registration or scholarship eligibility.
A.6 Recipients and processors
Your data is accessible only to authorised officers of the association. For collecting and storing form data we use Google Workspace (Google Forms, Google Drive, Google Sheets); Google Ireland Ltd. / Google LLC act as our processors on the basis of a data processing agreement (Cloud Data Processing Addendum, Art. 28 GDPR). For scholarship payouts, the necessary data is transmitted to the executing bank. The scholarship programme is carried by OLAMI (OLAMI International, New York, USA); for programme administration and settlement we transmit the data required for this purpose (name, attendance and entitlement overview) to OLAMI International. Disclosure to public authorities takes place only where legally required. We do not sell your data or share it for commercial purposes.
A.7 Third-country transfers
Where Google processes data outside the EEA (in particular in the USA), this is based on EU Standard Contractual Clauses (Art. 46 GDPR) and/or — where the recipient is certified — the EU-US Data Privacy Framework. Transfers to OLAMI International (USA) in the context of the scholarship programme are based on EU Standard Contractual Clauses (Art. 46 GDPR) or, where these are not in place, on Art. 49(1)(b) GDPR (necessity for the performance of the scholarship agreement).
A.8 Retention

General, academic and contact data: for the duration of your participation; thereafter deleted within 12 months at the latest, unless you request earlier deletion.

Financial and scholarship-related attendance data (IBAN, payouts, attendance records underlying payouts): seven (7) years from the end of the calendar year of the relevant payout (§ 132 of the Austrian Federal Fiscal Code, BAO). Deletion before expiry of this statutory period is not possible.

Consent-based data (e.g. visual materials): until you withdraw your consent.
A.9 Withdrawal of consent and its consequences
You may withdraw any consent at any time by emailing office@or-zarua.at; the lawfulness of processing before withdrawal remains unaffected. Please note: withdrawing consent to the processing of Halacha-related data means that scholarship eligibility can no longer be established going forward; payouts already made and statutory retention obligations remain unaffected.
A.10 Your rights
You have the right of access (Art. 15 GDPR), rectification (Art. 16), erasure (Art. 17 — except where statutory retention obligations apply), restriction (Art. 18), data portability (Art. 20) and objection (Art. 21). An email to office@or-zarua.at suffices. Complaints may be addressed to the Austrian Data Protection Authority (Datenschutzbehörde), Barichgasse 40–42, 1030 Vienna, www.dsb.gv.at.
A.11 No automated decision-making
Admission and scholarship decisions are made by people; no automated decision-making or profiling within the meaning of Art. 22 GDPR takes place.
A.12 Minors
Our programmes are directed at persons aged 14 to 32. In Austria, minors may, as a rule, give data-protection consent themselves from the age of 14 (cf. § 4(4) of the Austrian Data Protection Act, DSG); religious self-determination likewise applies from the age of 14. For participants under 18, we may additionally obtain the consent of a parent or legal guardian in individual cases, in particular in connection with the scholarship agreement and the provision of bank details.
A.13 Data security
We protect your data through appropriate technical and organisational measures, in particular restriction of access to authorised officers, two-factor authentication and access controls on the Google Workspace account used.
Part B — Scholarship Rules (OLAMI Scholarship Programme)
B.1 Programme and carrier
The scholarship programme is part of the international OLAMI programme and is carried and funded by OLAMI International (New York, USA). The association administers the programme in Vienna: it receives registrations, verifies the requirements, keeps the attendance records and pays the scholarships to recipients from earmarked programme funds.
B.2 Eligibility
A scholarship may be received by participants in the Beit-Midrash learning programmes who: a) have completed the registration form in full and accepted the Community Guidelines; b) are aged 14 to 32 years (in accordance with the OLAMI programme rules); c) have undergone the verification of Jewish status according to Halacha within the programme and have given their explicit consent for this (Art. 9(2)(a) GDPR) — this is a mandatory precondition of any payout; d) have been admitted to the programme by the association.
Participation in the learning programmes without a scholarship is possible without requirements b) and c). Participation in the programme does not constitute membership of the association. For recipients who are minors (under 18), the association may require the consent of a parent or legal guardian to the scholarship agreement and to the provision of bank details.
B.3 Amount and payment
The scholarship amounts to the euro equivalent of USD 100 per calendar month, converted at the ECB reference rate of the payout date. Payment is made monthly in arrears, at the latest by the end of the calendar month following the entitlement month, to the account (IBAN) provided after admission to the programme.
B.4 Attendance requirement
Entitlement for a calendar month requires in-person (on-site) attendance:
a) Regular teaching schedule: attendance at a minimum of one study session in at least four different calendar weeks of the month (at least once per week, at least four times per month). b) Reduced teaching schedule (vacations, holidays or sessions cancelled by the association): if at least four in-person sessions are nevertheless offered in the calendar month, entitlement exists if the recipient attends at least four of the offered sessions; distribution across different calendar weeks is not required in this case. c) If fewer than four in-person sessions are offered in a calendar month, no scholarship entitlement exists for that month.

Online participation is not counted.

Missed sessions count as missed regardless of the reason; no exceptions apply.
B.5 Attendance records
Attendance is recorded per session in an attendance sheet and consolidated in an overview table. These records form the basis for scholarship settlement, reporting to OLAMI International and any confirmations of participation (Kursbestätigungen), and are retained for seven years in accordance with § 132 of the Austrian Federal Fiscal Code (BAO).
B.6 End of entitlement and exclusion
Entitlement ends, or exclusion from the programme is possible, in the event of: breaches of the Community Guidelines, incorrect information, loss of the requirements under Section B.2, or withdrawal of the consent under Section B.2(c) (with effect for the future; entitlements already accrued for completed months remain unaffected).
B.7 No legal entitlement
There is no legal entitlement to admission to the programme or to the grant or payment of a scholarship. The carrier and the association may amend, suspend or terminate the programme at any time; entitlements for months already completed remain unaffected. The scholarship is granted without any consideration for work or services and does not create an employment relationship; tax matters on the recipient's side are to be clarified individually.
B.8 Data protection
The processing of personal data within the programme is governed by Part A of this document.
Final provisions
We will update this document where our processing operations, the programme or the legal situation change; the published version applies. In the event of discrepancies between language versions, the German version prevails.
